Selling minutes and courses without losing count

Courses keep clients coming back. Keeping track of who has what left is where the headaches start.

22 September 2026

Courses are one of the best things a tanning salon can sell. The money comes in up front, clients come back again and again, and your beds stay busy on quiet weekdays. The hard part isn't selling them. It's keeping count.

Where minutes go missing

If you've ever used a card system or a spreadsheet, you'll recognise these:

A session gets used but never gets taken off the course, because the desk was busy. A client swears they had twelve minutes left and your records say four. Someone buys a new course and a session on the same visit, and the session comes off the wrong one. A refund goes through but the minutes never get put back.

Each one is small. Together they cost you money, or worse, they cost you trust with a regular client.

Let the system do the maths

The fix is simple in principle: every session should come off the right course, automatically, at the moment it's paid for. The client should be able to see what they have left without asking. And anything that changes the balance, whether that's a refund, a cancellation or a top-up, should leave a clear record behind it.

Gift cards work the same way

Gift cards are a great way to pick up new clients, especially at Christmas. They need the same care as courses: a clear balance, a record of every time they're used, and no reliance on someone remembering a number scribbled on the back.

The payoff

When your records are right, you can sell courses with confidence, answer "how many have I got left?" in a second, and end the day knowing the numbers add up.
